Who we are
Scrafton & Scott Education Recruitment Ltd, trading as S&S Education Recruitment, is the controller responsible for the personal information described in this notice. Company number: 17528864. Registered office: 19 Main Street, Ponteland, Newcastle, NE20 9NH.
For privacy questions or requests concerning your personal information, email info@sseducationrecruitment.co.uk or write to our registered office.
Information you provide
When you register your interest, we collect the contact details, town or postcode area, experience, qualifications, role and setting preferences, employment preferences and availability you provide. Providing a CV, phone number, experience, qualifications and availability information is optional. Required fields will be marked; without the necessary contact and role information we may be unable to progress your registration.
For education provider and general enquiries, we use your name, contact details, organisation and the enquiry or vacancy information you provide to respond and discuss recruitment support. Please avoid including other people's personal information unless necessary and you are entitled to provide it.
Please upload your CV only. Do not include passports, DBS certificates, bank details or medical records. If we need documents for recruitment checks, we will explain how to provide them separately and give any additional privacy information needed.
Why we use your information
We use candidate information to manage registrations, understand experience and preferences, identify suitable employment opportunities and communicate about recruitment support. We use enquiry information to answer questions and discuss our services.
Our lawful basis for this processing is our legitimate interests in providing recruitment services to candidates and education providers, where those interests do not override your rights and freedoms. We also have a legitimate interest in protecting our website and forms against abuse.
We do not use registration information for promotional marketing or sell candidate information to advertisers.
Sharing and access
Access to candidate registrations and CVs is restricted to authorised members of our recruitment team. We obtain your written approval before sending your CV to a named school, nursery or other education provider. This approval is an additional safeguard; it is separate from our lawful basis for managing your registration.
A provider receiving your CV may act as a separate controller for its recruitment activities and should provide its own privacy information. Tell us if you want us to stop further submissions.
We use Microsoft 365 for business email and document storage, and Cloudflare for website hosting, submission processing and protection against automated abuse. These providers process information as needed to deliver their services. Information may also be disclosed where necessary to comply with law, respond to lawful regulatory requests or obtain professional advice.
Storage and international processing
Candidate registrations and optional CVs submitted through this website are stored in our private Microsoft SharePoint site. Our team receives a notification linking to the private record; the uploaded CV is not attached to that notification. Microsoft 365's administration panel currently identifies the United Kingdom as the current and committed geography for our SharePoint and Exchange Online services' in-scope customer data. This does not mean that every processing activity takes place exclusively in the UK.
Our service providers operate internationally, so processing may take place outside the UK. Their data processing terms describe the safeguards for international transfers, including contractual safeguards where required. See Cloudflare’s Data Processing Addendum and Microsoft’s Data Protection Addendum. Contact us for further information about the safeguards applicable to your information.
How long we keep information
We review candidate records after 12 months without meaningful contact. We will contact you to ask whether you wish to remain registered, allowing 30 days to respond and sending a reminder around day 14. If you do not respond, we will delete or anonymise information we no longer need.
We review closed general enquiries after six months and delete information no longer needed. Ongoing recruitment, client relationships, legal obligations or legal claims may justify retaining particular records for longer. We will restrict their use and retain them only for as long as necessary. The retention arrangements for later recruitment checks and placement records will be explained separately.
Deleting a record from active use may leave restricted copies in recycle bins, version history or backups until the applicable service retention periods expire. We consider these copies when handling deletion requests and restrict any restoration to appropriate purposes.
Recruitment decisions
Recruitment decisions are reviewed by our team. We do not make decisions about your application based solely on automated processing. No CRM or AI recruitment integration has been selected for this website. We will review our privacy information before introducing features that change how your information is used.
Your rights
You can ask to access or correct your personal information, or request deletion or restriction where applicable. Some rights depend on the circumstances and the lawful basis for processing. Data portability applies where its legal conditions are met.
You can object to our use of your information where we rely on legitimate interests. We will consider your objection and explain whether there are lawful grounds for continuing. You do not have to agree to promotional marketing to register; we do not offer marketing through this form.
Contact info@sseducationrecruitment.co.uk to exercise your rights. We may need proportionate information to verify your identity. We normally respond to rights requests within one month; we will explain any applicable extension or reason a request cannot be fulfilled. Where we rely on consent for any separately explained activity, you can withdraw it without affecting earlier lawful processing.
You also have the right to complain to the Information Commissioner's Office. Visit ico.org.uk/make-a-complaint.
Website security and cookies
Hosting and security services may process technical information such as IP addresses, browser information, timestamps and security-check results to deliver and protect the website. Our cookie information explains the security checks and browser storage used on this website. We do not use advertising trackers or website visitor analytics. We do not intentionally include registration content or CVs in our application logs. Hosting and security providers may retain their own operational records under their processing terms.
Changes to this notice
We will update this notice when our services or processing arrangements change and provide additional information where required.
